Resume PDF or Word? What to Send for Canadian Job Applications
Written by ResumeNorth
“PDF or Word?” is less important than “What does this application ask for?” A perfectly designed PDF is the wrong choice if the form only accepts a Word document. A Word file is equally unhelpful if the posting specifically requests PDF.
Alberta's ALIS guidance recommends following the posting's format instructions; it describes Word as a common option and PDF as an alternative when no format is specified. Treat that as practical guidance, not a claim that every Canadian employer prefers the same file.
A Simple File-Format Decision Path
- Read the posting and application form for file types, attachment requirements and size limits.
- If a specific type is requested, submit that type.
- If a portal accepts several types, use a clean document you have checked, then review any imported fields.
- If sending by email without instructions, choose a readable PDF for stable presentation or Word when the recipient needs an editable document.
- Keep both versions ready so you can respond if the employer requests another format.
Do not send both formats automatically: extra attachments can make it unclear which file to use. Follow the requested documents instead.
When PDF Is a Sensible Choice
PDF is useful when you want the layout to remain consistent when someone opens it. Export it from a word processor rather than photographing or scanning a printed resume.
A quick check is to select and copy a paragraph into a plain-text editor. If the text cannot be selected, the file may be an image rather than a text-based document. If the copied text appears in an unexpected order, simplify the layout and export again.
Selectable text is a helpful check, not proof that every hiring system will parse the file perfectly. Avoid passwords or restrictions that prevent a hiring team from opening or reading it.
When Word Is a Sensible Choice
Use a Word document when the posting requests it, when a portal expects it, or when an authorised recruiter asks for an editable copy. Use the extension the employer accepts, often .docx, rather than assuming an older format or another word processor's native file is interchangeable.
Open the final file after saving. Check page breaks, spacing, hyperlinks and whether your intended content is visible. Remove comments and resolve tracked changes before sending; a clean final application should not show your editing conversation.
What Should You Name Your Resume File?
A clear filename helps the hiring team identify the candidate and document. It is an organisational choice, not an ATS ranking trick.
Filename Examples
These are fictional examples to adapt:
- Alex-Chen-Resume.pdf
- Alex-Chen-Administrative-Assistant-Resume.docx
- Alex-Chen-Resume-Job-4821.pdf, when a job number helps distinguish applications.
Avoid resume-final-FINAL-new2.pdf, sensitive personal identifiers, or a filename that names a different employer. If the application specifies a naming convention, use it instead.
Keep a separate private folder for your drafts. A concise filename on the submitted document does not prevent you from keeping dated versions in your own records.
Check the Content, Not Just the Extension
A .pdf or .docx label does not make a document readable by itself. Before submitting:
- Use recognisable headings such as Experience, Education and Skills.
- Keep essential text in the main document rather than relying on decorative images.
- Check that email, phone number and any portfolio links are correct.
- Look for clipped lines, empty pages or unexpectedly small text.
- Make sure the attached document matches the role and employer.
- Compare any portal-populated fields against the original resume.
For a deeper check, use the ATS formatting checklist. It complements file selection; it cannot guarantee an interview or identical results across hiring software.
What If the Application Portal Rejects the File?
Read the error message before repeatedly uploading the same document. Check the accepted extension and size limit, then save a fresh copy in an accepted format. If the employer provides technical support or an application contact, use that route for a persistent problem.
Do not rename a file extension to pretend it is another format. Changing resume.pages to resume.docx does not convert the underlying document. Export or save it properly.
If a portal requires you to paste text, use its fields as instructed and check the pasted result. Formatting that works in a document may not transfer into a form.
Keep Both Versions Ready
The free Canadian resume templates provide PDF and editable Word options. Edit your chosen template with truthful, role-relevant details, then export and inspect your own finished document. The template's example content is not evidence of your experience.
When you are ready to submit, use the resume email guide for a subject line, a concise message and a final attachment check.
Frequently Asked Questions
Is PDF always better for ATS?
No. File requirements and parsing behaviour differ. Follow the employer's instructions and check the document and imported fields rather than assuming one format always wins.
Can I send a scanned resume?
Avoid an image-only scan when a readable digital document is possible. Export text from your word processor; an image can make it harder to select, search or import the content.
Should my filename include the year?
Only if it is useful or requested. Your name, document type and optionally the role or job number are usually enough to identify the file. A year in the filename is not a ranking factor you should rely on.
